A computer printer is a device with hot, moving parts, and uses electricity and chemicals. Although a desktop printer is one of the safest pieces of equipment in your business, it pays to take some precautions during its use. Printer safety means protecting yourself and those in your office as well as keeping your investment in working order.

Stable Base
A printer requires a stable, level base on which to operate. Some printers weigh over 25 pounds, and the vibrations of the printing mechanism can shake a table not sturdy enough to hold it. Shaking can cause objects to fall off the table or desk — including the printer itself.

Mechanical Hazards
Large-format printers have heavier, more powerful mechanisms that can cause injury. The same rollers can pull in long hair, fingers or dangling jewelry, so keep long hair tied up and away from the paper feed mechanism.

Hot Components
Laser and LED printers work by pressing paper against a metal drum. If you need to open the printer, give it ten minutes to cool down. After a laser printer has been operating for more than a few minutes, the parts inside become hot enough to cause burns.

Electrical Precautions
For electrical safety, follow the same precautions for printers as you would for any small appliance. Always use the power button to turn the printer on and off; do not turn it off by unplugging it. Do not open the printer’s electrical and electronic parts while the equipment is plugged in.

Noise
Inkjet, thermal and laser printers are well-suited to office environments because they produce low levels of noise. Dot-matrix impact printers have low operating costs but generate a harsh buzzing sound. Put the printer in a separate room or use a sound cover to reduce noise.

Toner and Ink
Wear disposable plastic gloves when changing toner or ink cartridges. Handle new cartridges carefully, as they contain delicate components. Wrap spent cartridges in plastic to avoid ink or toner leakage. Store new cartridges in a cool, dark place to avoid damage by heat or direct sunlight.
