What Printer Can I Get That Will Not Smear?

You don’t have to live with prints that smudge when you touch them, highlight them, or get them wet. The majority of printer technologies aimed at small businesses are resistant to smudging. Avoid dye-based inkjet printers in favour of laser printers, solid ink printers, and pigment-based inkjets. Laser Printers Pages from a properly functioning laser printer cannot smear once they are ejected. To create page images, a laser printer employs a solid material known as toner. After an electric charge adheres to the toner on the page inside the printer, the page passes through a special heated roller known as a fuser. The fuser melts the toner onto the paper at temperatures up to 400 degrees, making it unlikely that it will melt off the paper in the future. If your printer’s fuser operates at a lower-than-ideal temperature, your laser prints will smudge. To address this issue, adjust the temperature of the fuser on a regular basis. Solid Ink Printers Solid ink printers provide the vibrant colours of inkjet printers without the risk of smudging. These printers, like inkjet printers, use solid ink sticks that are melted to create liquid ink that is applied to the page. However, when dry, the inks revert to solid form and are virtually impervious to smudging. The only disadvantage of this technology is that the ink remelts at temperatures near the boiling point of water. While this would never happen in an office, it could happen inside a car on a hot day. Pigment-Based Inkjets Traditional inkjet printers employ two ink technologies. Solid colourant particles are suspended in a liquid solvent by pigment-based inks. The solvent evaporates when the printer deposits them on the page, leaving the solid pigments behind. According to major printer manufacturers, this technology is much more resistant to smudging than dye-based printing and can even withstand a highlighter or spilled water in many cases. Printers that use pigment-based inks are manufactured by Epson, HP, and Canon. Maximizing Ink Performance If you must use a dye-based inkjet printer, use good printing techniques and printer-appropriate products to reduce smears. Allowing prints to sit in the output tray of your printer for a minute or two before touching them will give the ink more time to dry. Special coated inkjet papers can also help to lock the dye into the sheet and reduce the risk of smudging. *Other Model Available RICOH MPC3503/ MPC5503 | RICOH MPC3504/ MPC5504 CONTACT US: 03-3341 6296 | 018-788 6296 | 018-228 6296

Can Empty Ink Cartridges Damage Print Heads?

Keeping your printer in good working order can help your company avoid productivity losses and unnecessary repair costs. One of the most damaging things you can do to your printer is to leave an empty ink cartridge in it, or to let a cartridge run dry while you’re printing. An empty cartridge can damage and clog the print heads of a printer. At best, you’ll have to replace the cartridge and perform some maintenance, but you could end up damaging the print head to the point where it needs to be replaced. Heat Damage The ink in the cartridge serves two purposes in thermal inkjet printers. It first and foremost provides pigmentation for printed imagery. Second, it serves as a cooling agent for the printer head. Thermal inkjet printer heads include a small heating element that vaporises a small amount of ink to create a steam bubble inside the nozzle and generate the force needed to push a droplet through the nozzle onto the paper. Without ink to act as a coolant, the element in the print head can begin to burn out and cause permanent damage, necessitating the replacement of the entire print head. Vacuum Seal Damage A piezoelectric vacuum system is used in Epson printers. The piezoelectric crystal is located in the nozzle rather than a heating element. When a current is applied to the crystal, it vibrates, allowing ink to drip into the nozzle before the seal is closed again. When the cartridge is empty and the printer is turned on, air is drawn past the crystal, causing the vacuum seal to break. As a result, even replacing the cartridge will yield poor results – or none at all – until the vacuum is restored by forcing air out of the head. Clogged Print Head Leaving an empty cartridge in the printer can cause clogs, which can impede performance and potentially damage the print heads over time. However, if the printer is not used for an extended period of time or with an empty cartridge, the ink residue on the head can dry out. This causes ink clots on the head, which can clog the system and cause poor performance. Many printers have a head-cleaning mode that can clear clogs at the cost of wasted ink. However, if these modes are insufficient to clear the clogs, all you do is waste ink and risk causing long-term damage to the heads by forcing more ink through them than during normal operation. Preventative Measures It is fairly simple to avoid damage caused by empty cartridges. The simplest method is to not let the cartridges run dry; your computer will usually notify you when your ink cartridge is low. If not, you can usually tell by the appearance of white streaks, faded colours, or other signs of poor print quality. You reduce the risk of print head damage by replacing cartridges when they are low rather than empty. If you’re not going to use your printer for a long time or it will be a long time before you replace an empty cartridge, you should save the print head. Remove the printer head and place it in a plastic bag with little air and a few drops of water to keep moisture in the bag. This prevents the head from drying out and clogging during extended periods of inactivity. *Other Model Available RICOH MPC3503/ MPC5503 | RICOH MPC3504/ MPC5504 CONTACT US: 03-3341 6296 | 018-788 6296 | 018-228 6296

Printer Won’t Print in Windows Virtual PC

With Virtual PC, you can connect virtual machines to printers via USB or network connections. Because Windows 8 uses an application called Hyper-V for virtual machines, the Virtual PC tool is only available on computers that are natively running Windows 7 or earlier. A number of factors, such as printer hardware issues, incorrect printer settings, driver incompatibility, or faulty network settings, can prevent a printer from operating properly when connected to a virtual machine. Check Hardware Before delving into your printer’s drivers, settings, and software to troubleshoot a problem, check the printer hardware for issues. Check that the printer is connected to a power source and turned on. Check the built-in screen of your printer for error messages such as printer jams, low ink, or connection problems. If you’re printing from a computer running a virtual machine, make sure the USB cable is secure. Printer Setup If you want to connect a USB printer, launch Virtual PC, click on “USB,” and then select “Attach.” Choose a name for your printer. Install the printer drivers on the guest operating system next. Printer drivers can be found on the installation disc that came with your printer. You can also look for drivers on the printer manufacturer’s website. After ensuring that the correct drivers are installed, click on “USB,” then “Release,” and finally the name of your printer. Select “Restart” from the “Action” menu. Reboot your virtual machine and try printing the document again. Check Drivers Check the website of your printer manufacturer to see if your printer drivers are supported by your guest operating system. One of the benefits of Virtual PC, for example, is that you can run a Windows XP virtual machine on a newer computer. You can run legacy software that is incompatible with Windows Vista or Windows 7 on your Windows XP installation. Windows XP, on the other hand, may be too old to recognise your printer drivers. Review Network Settings If you want to print from a network printer, start Virtual PC and log in to your virtual machine. Go to the “Control Panel” and select “Printers.” Choose “Network Printer” from the “Add Printer” menu. Click “Next” after selecting your printer from the list of available devices. You may be prompted to install additional software by the setup wizard. Enter your administrative username and password after clicking “Install Drivers.” After you’ve installed the drivers, click “Finish.” *Other Model Available RICOH MPC3503/ MPC5503 | RICOH MPC3504/ MPC5504 CONTACT US: 03-3341 6296 | 018-788 6296 | 018-228 6296

How to Find the IP Address of a Local Printer in Vista

Sharing a printer across a local network provides several advantages for small businesses, the most notable of which are increased functionality, effective cost distribution, and convenience. Because most small businesses place low demands on their printers, as opposed to the high-output demands common in medium- and large-scale operations, putting the printer on a local network is cost-effective. To do so, however, the printer must be assigned an Internet Protocol address. The same method can be used to find your printer’s IP address on all three versions of the Vista operating platform designed for business use – Business, Enterprise, and Ultimate. 1.Open the Windows Start menu by clicking “Start.” Select “Printers and Faxes” from the “Settings” menu. 2.On the “Printers and Faxes” screen, locate your network printer. Right-click the device and select Properties. 3.From the pop-up menu, select “Properties.” 4.Click the “Ports” tab to view the IP address of your printer. *Other Model Available RICOH MPC3503/ MPC5503 | RICOH MPC3504/ MPC5504 CONTACT US: 03-3341 6296 | 018-788 6296 | 018-228 6296

What Causes a Printer to Print Blank Copies?

Running a profitable business necessitates careful cost-cutting. When you look over a printed presentation, reference document, or other business content and find unexpected blank pages, you’ve wasted paper that could have been put to better use. Examine your entire printing process for problems in your hardware before your documents even reach it to trace the source of your output defects. Sealed Cartridge When you first unbox and install a new or remanufactured toner cartridge, one of the final steps before inserting it into a laser printer is to remove a seal that prevents toner from exiting the cartridge while in transit. If you install the cartridge without removing the seal, paper will pass through the print mechanism but no image will appear. Your output should return to normal after you remove the seal. Most printer manufacturers make this type of removable protection with a bright orange or other easily visible colour pull ring. Paper Misfeed Paper that is too thin or too moist from humidity exposure can misfeed in the printer, causing extra sheets to exit the device. These types of misfeeds can also occur when the paper supply is insufficient for the pickup mechanism to feed sheets smoothly out of the input tray. Examine your supply trays for signs of problematic paper and replace it with better stock, or reload input drawers, to ensure that the machine feeds properly. Accidental Output When you print a website page, your browser may split the content into subsequent pages that appear blank because the length of the material exceeds the printable height of your current sheet size. You may be able to capture the page on a single sheet if you use longer paper (legal or even tabloid). Check for stray carriage returns or page breaks that force the application to add a blank page in the middle or end of the document when printing from word processing software. Blank Document Page Some documents purposefully include blank pages. A reference work may begin each chapter on the right-hand page by using strategically placed blanks. Because the original printed version cut costs on its four-color exterior, a PDF brochure may include blank inside front and back covers. You may be able to omit blanks by activating a printing preference depending on the application from which you’re printing. If your software does not provide this option, you can manually scan the file, noting where the blanks appear and skipping those pages when printing. *Other Model Available RICOH MPC3503/ MPC5503 | RICOH MPC3504/ MPC5504 CONTACT US: 03-3341 6296 | 018-788 6296 | 018-228 6296

Is It Okay to Not Use My Laser Printer Often?

With the increased use of the Internet as a business medium, many companies’ printing requirements have shrunk to monthly invoices or the occasional formal correspondence. If your company only requires occasional printing, a laser printer may be the best option. A laser printer’s method of producing a printed page makes it a dependable occasional-use printer. Inkjet The issue with using inkjet printers for occasional printing stems from the ink’s composition. Anyone who has attempted to write with an uncapped ball-point pen will understand the difficulties associated with unused, dried-out ink cartridges. Inkjet printer cartridges contain an oil-ink mixture that lubricates the printing mechanism during the printing process. Long periods of inactivity cause the oil in the mixture to evaporate, and the exposed print heads can develop a film of dried ink that must be cleaned before the printer will produce presentable output. Expiring Cartridges At least one printer manufacturer, HP, extends the useful life of inkjet cartridges by embedding an expiration date into each cartridge. Once the cartridge’s expiration date has passed, the printer no longer recognises its presence and will not operate. According to HP, the expiration date protects customers by preventing old or possibly congealed ink from damaging the printer’s mechanism. Laser Printing When a document is sent to a laser printer, a copy of the document is “drawn” with a laser on an electrostatic imaging drum. The toner cartridge contains carbon powder, which adheres to the charged areas of the imaging drum as the drum rotates. As the drum rotates through the paper feed path, the carbon powder is transferred to a blank piece of paper. Finally, an intensely hot fusing element melts the powder onto the paper, permanently bonding the image to the paper before it is ejected from the printer. Powder’s Advantage The powdered toner in a laser printer is stored in an airtight dispenser, which protects the toner from excessive humidity or other conditions that can reduce toner longevity. When used infrequently over the course of several years, a laser printer requires no additional maintenance and suffers no degradation in performance. *Other Model Available RICOH MPC3503/ MPC5503 | RICOH MPC3504/ MPC5504 CONTACT US: 03-3341 6296 | 018-788 6296 | 018-228 6296
